Billing & Admin Coordinator

Part-Time, Fully Remote (Western Cape), R12,000-R15,000/m

Hours: Part-Time (Half Days - approx. 20 hours/week, flexible schedule)

Role Overview

Springnest is seeking a detail-oriented person to join our team and take ownership of our billing and admin processes. Working remotely on your own flexible 20-hour weekly schedule, you'll help keep our business running smoothly by managing customer subscriptions, handling invoicing, and supporting our team with essential admin. If you're organised, good with numbers, and enjoy working independently, this could be a great fit for you.

Key Responsibilities

  • Match incoming payments to customer invoices daily.
  • Help customers with billing questions (updating payment methods, explaining charges).
  • Follow up on outstanding payments and manage payment failures.
  • Create and send quotes and invoices.
  • Process debit orders.
  • Handle general admin tasks (monitoring data/phone balances, updating leave records, booking meeting rooms).
  • Identify ways to improve our billing processes.

Requirements

  • Proven experience in billing, accounts receivable, or financial admin.
  • Proven experience in online accounting software (Xero preferred).
  • Strong spreadsheet skills (Google Sheets or Excel) - you should know how to use basic formulas, sort data, and keep information accurate.
  • Confident with digital tools - you'll need to be comfortable using online applications to collaborate (Zoom, Slack, etc).
  • Attention to detail and accuracy when working with numbers.
  • Good organisation and ability to prioritise tasks on your own.
  • Ability to communicate professionally and clearly with customers and team, both verbally and in writing.
  • A reliable internet connection, and a suitable place to do focussed remote work.

Advantageous Experience

  • Formal bookkeeping or accounting qualification/experience.
  • Prior experience working effectively in a fully remote team.
  • Experience within a SaaS or subscription-based business model.
  • Experience using Loom or similar screen recording tools.
